Features

Everything you need to export a mailbox to CSV

One connection. Your whole inbox. One clean file.

Backfill history, then sync forever

Connect Gmail or Outlook with OAuth and bulk-export entire folders or labels — thousands of historical messages in one pass. From then on, continuous sync appends a new row for every arriving email, so your CSV stays current without ever re-exporting. Google Takeout gives you a raw archive; this gives you a live dataset.

AI extracts fields from every message

Layout-agnostic AI reads each email in the mailbox the way a person does — sender, reference numbers, dates, amounts, and line items become consistent columns even when every sender formats their messages differently. AI columns let you define custom fields in plain English, and attachments like PDF invoices are parsed with the same engine.

One consolidated CSV, always current

Every message lands as a row in a single file with consistent columns — three years of vendor emails become one import-ready dataset. Download as CSV, or export to Excel (.xlsx), Google Sheets, JSON, and XML. Retrieve structured data via the REST API or push it downstream with the Power Automate connector.

Case study

Three years of vendor emails exported in one afternoon

“We had 40,000 order confirmations sitting in a shared inbox. MailboxToCSV backfilled all of them into one spreadsheet in an afternoon, and now every new order lands there automatically. Our reporting went from impossible to instant.”

An operations team turned a three-year email archive into a live order database in one day — and eliminated 30 hours of weekly manual data entry going forward.

What operations teams are saying

“We connected our AP inbox and exported two years of invoice emails in one go. Every sender formats things differently and the columns still came out consistent. That backfill alone saved us weeks.”

“The continuous sync is the killer feature. We did the initial export once, and now the CSV just grows on its own as orders come in. Nobody on my team touches email data entry anymore.”

“I tried Google Takeout first and got a giant MBOX file I couldn’t do anything with. This gave me actual columns — sender, order number, amount — for my entire inbox. Exactly what I needed.”

How mailbox to CSV export works

Last updated: September 2026

A business mailbox is a data archive in disguise. Years of order confirmations, invoices, receipts, booking notifications, and lead alerts sit in folders holding exactly the information teams need for reporting, reconciliation, and analysis — but locked inside thousands of individual messages in hundreds of different formats. Getting that history into a CSV file by hand means opening each email, locating the relevant fields, and copying values cell by cell, which is why most email archives are never analyzed at all.

The traditional export path does not solve this. Google Takeout produces MBOX archives and Outlook produces PST files — raw message dumps that preserve every email but structure none of them. You get the messages out of the mailbox, but the order numbers, dates, and amounts are still buried in unstructured text. Turning an MBOX file into usable columns requires either custom scripts or the same manual copy-paste the export was supposed to avoid.

Parsing tools improved on this with rules and templates: you defined where each field lived in a given email format, and the parser extracted from those positions. This worked for one stable sender, but a mailbox is the hardest case for template-based parsing — it contains messages from dozens or hundreds of senders, each with their own layout, and historical messages from senders who have changed templates multiple times over the years. Template maintenance at mailbox scale is effectively unbounded.

Layout-agnostic AI removed that constraint. Large language models read email content the way a person does — interpreting context, structure, field labels, and semantic meaning — so a single export handles every sender and every format in the mailbox without configuration. The AI locates the fields, interprets their values, and keeps columns consistent across thousands of heterogeneous messages, including data inside PDF and Excel attachments.

MailboxToCSV.com uses this layout-agnostic approach, powered by Lido, to export entire mailboxes into clean CSV files. Connect Gmail or Outlook, select the folders or labels to export, and the initial backfill processes your email history in one pass. Continuous sync then appends every new arriving message as a fresh row, so the CSV becomes a live dataset rather than a one-time snapshot. Output can also be delivered to Excel, Google Sheets, JSON, or XML.

Frequently asked questions

How do I export a mailbox to CSV?

Connect your Gmail or Outlook account to an AI-powered tool like Lido and select the folders or labels you want to export. The AI reads each message — body and attachments — extracts the data fields, and writes every email as a structured row in one consolidated CSV file. Unlike raw exports such as Google Takeout or PST files, the output is clean columns like sender, reference number, date, and amount, ready for Excel or database import. Both historical email and new incoming messages are supported.

Can I export my entire Gmail or Outlook inbox to CSV?

Yes. After connecting your account, you can bulk-export entire folders or labels — thousands of messages are processed in a single pass. Google Takeout and Outlook PST exports give you raw message archives that still need parsing; an AI-powered export reads every message and returns structured fields instead, so three years of order confirmations become three years of clean CSV rows with consistent columns.

Will new incoming emails be added to the CSV automatically?

Yes. Continuous sync watches the connected mailbox and appends a new row for every arriving message that matches your export. The initial bulk export handles your email history, and the sync keeps the file growing from that point forward — so the CSV becomes a live, always-current dataset of your inbox without any manual re-exporting.

How many emails can I export at once?

Bulk backfill scales from a few dozen messages to tens of thousands in a single export. Plans are sized by email volume: the free tier covers 50 emails, the Standard plan covers 100 emails per month, and the Scale plan starts at 42,000 emails per year with volume pricing up to 360,000 emails per year. Large historical exports are processed in batches automatically, so you do not need to split the job yourself.

What data is extracted from each email?

Standard fields include sender, subject, date, reference or order numbers, amounts, and line items. AI columns let you define any custom field in plain English — for example, tracking numbers, due dates, customer names, or claim IDs — and the AI extracts that field from every message in the mailbox. Attachments such as PDF invoices are parsed with the same engine, so attachment data lands in the same CSV rows.

Is it safe to connect my mailbox?

Yes. Connections use OAuth, so your password is never stored, and access can be revoked at any time from your Google or Microsoft account settings. The platform is SOC 2 Type 2 certified and HIPAA compliant, with AES-256 encryption at rest and TLS 1.2+ in transit. Processed emails are automatically deleted within 24 hours, and your data is never used to train AI models.

What output formats are supported besides CSV?

In addition to CSV, mailbox exports can be delivered to Microsoft Excel (.xlsx), Google Sheets, JSON, and XML. A REST API returns structured JSON with confidence scores for each extracted field, and a Power Automate connector is available for no-code workflow integration with downstream systems.
